The purpose of this role is to take in work from our customers and distribute it to our team. Serves as primary telephone person, directing all calls or messages to appropriate parties. Acts as a host/hostess, by scheduling, greeting and notifying appropriate staff of patients arrival. Demonstrates superior telephone and interpersonal skills, with sensitivity to the patients’ needs and expectations. Participates as part of the team to ensure that all elements are in place for proper and seamless patient care.


  • Answer phones
    • Schedule appointments
    • Provide information pertaining to services and appointments
    • Transfer calls as needed
    • Generate and distribute messages for direct inquiries
  • Greet and check in clients
    • Provide medical intake form
    • Provide consent forms
    • Verify forms are complete
    • Confirm existing information
    • Update and correct patient records as needed
  • Triage patients
    • Update patient on progress or delays
    • Offer water
    • Offer coat check
    • Transfer care to appropriate staff member
  • Check out patient
    • Confirm understanding of post care
    • Activate and apply BD rewards
    • Process payment
    • Schedule follow up appointment
    • Generate Symplast invoice
    • Verify all tasks on Superbills
  • Monitor waiting room and work space
    • Organize Superbills upon completion
    • Ensure furnishings are orderly
    • File charts upon completion
    • Pull charts for the next day
    • Monitor booking schedule a day-week in advance
    • Schedule within gaps
    • Fill unexpected gaps with BYH waitlist
    • Call to confirm “pending” appointments
  • Assist with additional tasks as requested by supervisor
